Online Valuation Service User Guide and FAQs

This guide explains how to use the Online Valuation Service and provides useful tips if you experience problems. 1.0 Getting Started

1.1 Account Activation

For security purposes, and as a one-off exercise, you are required to activate your account. This process involves visiting the Online Valuations section of our website and entering security information that you provided when you registered for the service.

Account activation instructions (first visit only)

  1. Visit the website
  2. On the home page select the "Your Portfolio" link at the foot of the page
  3. On the Online Valuations Login page, click the link in the Activate Your Account section
  4. Fill in your User Name (provided in your registration letter)
  5. Select your Memorable Data Type (as indicated by you when you are registered)
  6. Fill in your Memorable Data (as indicated by you when you registered)
  7. Fill in your E-mail Address (as indicated on registration form)
  8. Click the green Submit button.
  9. Provided that the details you have entered match the data that we hold on file for you, a temporary password will be automatically generated and sent immediately to your e-mail address.

1.2 Temporary Password

The instructions below explain what you should do with the temporary password.

  1. Return to the Online Valuations Login page.
  2. Enter your User Name and temporary password. As the password is case-sensitive, we recommend that the password is copied and pasted from the e-mail to ensure the correct characters are entered.
  3. Click the Login button.
  4. When this login is successful, you will be immediately prompted to select a new password of your choice for subsequent visits (minimum 8 characters please). It is important that you keep this password secret to avoid unauthorised access to your account.

You should now be able to access your portfolio(s) by logging in using your User Name and new password. See Section 2 regarding viewing your portfolio(s).

Enter your User Name and password, and click the Login button.

2.0 YOUR ACCOUNT

2.1 User Name

Once you have registered for the Online Valuation Service, you will be provided with a unique User Name. This is a randomly-generated arrangement of numbers and letters. For example, 7456gtrdrw.

The random nature of the user name ensures that it is particularly difficult for someone other than the authorised user to access your account. Your User Name will be sent by post to your address within 1 week of your registration.

2.2 Passwords

During the account activation process, and if you forget your password, you will be issued with a temporary password. When you enter this temporary password along with the user name, you will be immediately prompted to select a new password of your choice for subsequent visits (minimum 8 characters please). It is important that you keep this password secret to prevent unauthorised access to your account.

2.3 Change your password

The link to a page to Change Password is located at the top of the page beneath "My Portfolio". Please note that you can only change your password once you have already logged in to your account.

2.4 Forgotten your password

If you have forgotten your password, please click the Forgotten Your Password link on the login page. You will be asked to enter some security information (User Name, Memorable Data Type, Memorable Data, E-mail Address). Provided that the details you have entered match the data that we hold on file for you, a temporary password will be automatically generated and sent immediately to your e-mail address. See section 1.2 above for instructions on what you should do with the temporary password.

2.5 Locked account

If you are unsuccessful at logging in for 3 consecutive attempts, your account will be automatically locked. Please contact the Online Valuations Admin Team who will be able to unlock your account.

2.6 Inactivity account lockout

Should you log in and remain inactive within the Online Valuation Service for 20 minutes and then try to access any pages that required security authentication, you will be asked to login to your account again. This security measure prevents unauthorised access and viewing of your account.

3.0 VIEWING YOUR PORTFOLIO(S)

3.1 Logging in to your portfolio(s)

Once you have successfully activated your account, and changed your temporary password into a personal password, you should now be able to access your portfolio(s) by logging in using your User Name and new password.

On the login page, enter your User Name and password in the boxes provided, and click the Login button.

If you enter an invalid User Name and/or password, an error message will be displayed to inform you that you have entered incorrect information.

If you enter a correct User Name but an incorrect password three times in the same session, your account will be ‘locked’ to prevent unauthorised access to your account. To unlock your account you should contact the Online Valuations Admin Team

Please note: User Names can be entered in lower case, UPPER CASE, or Mixed Case. Passwords are case-sensitive.

Once you have successfully logged in to the service, your portfolio(s) will be displayed on screen after a short loading period (if you are an Adviser, you will access the Account Selection page first).

You are able to view your portfolio(s) in a number of different ways, as set out below:

3.2 Select portfolio

If you only have one portfolio, the Client Code relating to that portfolio will display in the Portfolio drop-down menu (see above). If you have multiple portfolios, you will be presented with a drop-down list of all available portfolios and an option to view a consolidated view of all portfolios.

3.3 Select currency

Your portfolio(s) can be viewed in different currencies. The default currency is £ Sterling, however you can convert your portfolio valuation into US $ or Euros if so desired, using the Currency drop-down list.

3.4 Sort By

The portfolio(s) can be viewed in a number of ways, by using the Sort By drop-down menu situated at the top-right of the portfolio:

  • By sector (default view)
  • By stock
  • By country

3.5 Elements of the portfolio

The portfolio is made of the following elements:

Element Description
Important Update Information Details of when the portfolio was last updated (+ the date of the closing prices)
Deposit Balance Deposit account cash balance
Dealing Balance Dealing account cash balance
Total Market Value The total value of all portfolios displayed
Grand Total The sum of Deposit Balance and Total Market Value
Stock Name All the stocks you hold will be listed in a column under this heading
Portfolio This column displays the CLIENT ID to which the portfolio displayed relates.
Holding Quantity The number of shares held
Book Cost The original cost of the holdings
Market Price The mid-price of relevant stocks at the close of the previous day’s dealing, quoted in the stock’s local currency.
Market Value The value of the holding, quoted in chosen currency, at time of last portfolio update
Gross Income The income provided by the stock held, before the deduction of tax
Gross Yield The percentage of gross income provided by the stock, before deduction of tax
Accrued Days The number of days that income have accrued over.
% Gain/Loss % comparison of book cost against market value for each holding
% Change % comparison against portfolio valuation for previous business day

3.6 Printing your portfolio

To print your portfolio(s), please select the Print button situated at the top right hand corner of the portfolio page.

For best results, Brewin Dolphin recommends that your web browser page setup is set to landscape.

To check this setting: (instructions for Internet Explorer):

  • Select File
  • Select Page Setup
  • Select Landscape in the Orientation box

3.7 Download and save portfolio to your personal computer

You are able to save your portfolio(s) to your personal computer as a web page.

  • Select File
  • Select Save As...
  • Text file - which can then be opened in eg Microsoft Excel as a spreadsheet

3.8 Basis of Valuation calculations

Prices are quoted at the previous day's close of business. UK quoted securities are valued at the mid-market price quoted by the London Stock Exchange. Overseas securities are valued at the mid-market price or last traded price on the relevant stock exchange as obtained from the Extel information service.

Unit Trusts are valued at the mid-market price prevailing on the valuation date. Unquoted securities are valued at prices obtained from accredited sources by Brewin Dolphin Securities Ltd. Sources supplied upon request.

Exchange rates as at close of business on date of validation

The unaggregated charges and taxes (as known by this firm) deducted in respect of purchases, sales and management of securities have previously been set out in earlier contract notes or statements. The amount of any remuneration received by the firm from a third party in respect of transactions entered into for the portfolio has been disclosed to you on contract notes previously issued.

Please ensure that the holdings shown on this valuation are correct. No liability will be accepted for errors beyond our control. Where original cost figures are not available the notation N/A may be used or a nominal sum may be inserted. This may make the book cost figures inaccurate but will not affect the current market value.

4.2 Bookmarking pages

(Instructions for Internet Explorer 5.5 browser)

To bookmark a web page, find the particular page using your web browser as normal.

  • Select Favorites
  • Select Add to Favorites
  • Edit Name (optional)

For subsequent visits to that page, use the Favorites menu option to quickly find the page(s).

Section 1.0 Getting Started

1. How do I activate my account?

See section 1.1 (above)

2. What should I do if my account activation is unsuccessful?

The account activation process will fail if you enter data that does not match the data that we hold on file for you. Please check and try again. If you continue to have problems, please contact the Online Valuations Admin Team.

If any of the data that you enter on the Account Activation page differs from the data that we have on file for you, an error screen will be displayed. Please note the error number and quote it if you need to contact us.

Please check that you have correctly:

  • typed your User Name (as provided in your joining letter)
  • selected your Memorable Data Type (as selected during your registration process)
  • typed your Memorable Data (as indicated on your registration process)
  • typed your E-mail address (as indicated on your registration form)

Remember that you only need to activate your account once. If you attempt to activate your account more than once, an error message will inform you that the account has already been activated.

3. The password I received by email does not work?

Please note that the password is case-sensitive. We recommend that the password is copied and pasted from the e-mail to ensure the correct characters are entered.

Section 2.0 Your Account

1. How do I change my personal details?

If you wish to change the memorable data, memorable data type, or email address that we have on file for you, please contact the Online Valuations Admin Team.

2. I have forgotten my password – how do I renew it?

Please select the Forgotten Your password? option. You will be presented with the Renew Your Password page. Please enter the security details requested and a new password will be immediately generated and sent to you by email. The first time that you log in using this temporary password you will be asked to change this password (see section 1.2 above).

3. My account is locked – what should I do?

Please contact the Online Valuations Admin Team who will be able to unlock your account for you.

Section 3.0 Viewing Your Portfolio(s)

1. Can I view more than one account?

You are able to view multiple accounts using the same login details if you have requested this facility. See section 3.2 (above).

Please contact the Online Valuations Admin Team if you wish to view additional portfolios.

2. My account is not in sterling – can I view my account?

Yes.

3. My portfolios are made up of mixed currencies – can these portfolios be displayed?

Yes.

4. Can I save the portfolio to another file location?

Yes. See section 3.7 for instructions.

5. What should I do if my portfolio details appear to be incorrect?

Please contact the Online Valuations Admin Team who will be able to investigate any inconsistencies with the valuation of your portfolio(s).
